• Account Information: Name, business name, email address, and password.
• Payment Information: Billing details processed through Stripe. We do not store full card numbers.
• Contact Lists: Email addresses and subscriber data you upload to the Platform.
• Campaign Content: Email templates, copy, images, and videos you create or upload.
• Communications: Support requests and feedback messages.

1.2 Information Collected Automatically

• Usage Data: Campaigns created, emails sent, open rates, click rates, and feature usage.
• Device Information: Browser type, operating system, and IP address.
• Email Engagement: Open events, click events, and bounce data from sent campaigns.
• Cookies: Used for authentication and analytics purposes.

1.3 Your Subscribers' Data

When you upload contact lists, you are acting as the data controller for your subscribers' personal information. You are responsible for ensuring you have appropriate consent to email those contacts. We process subscriber data as a data processor on your behalf solely to deliver your campaigns.

2. How We Use Your Information

• Deliver email campaigns on your behalf via our sending infrastructure.
• Verify contact lists and remove invalid or bounced addresses.
• Provide analytics and reporting on campaign performance.
• Operate Blog Autopilot, Reddit Radar, and AI Visibility Score features.
• Process payments and manage your account.
• Detect abuse, spam, and fraudulent sending behaviour.
• Comply with legal obligations including CAN-SPAM and GDPR requirements.

3. How We Share Your Information

We do not sell your personal information or your subscribers' data. We may share information with:

• Infrastructure Providers: Hosting and server providers (Hetzner) used to operate the Platform.
• Email Verification Services: Third-party services used to validate subscriber addresses.
• AI Providers: To power AI copywriting features, anonymised content may be sent to AI model providers including Anthropic.
• Legal Requirements: When required by law, regulation, or court order.
• Business Transfers: In connection with a merger, acquisition, or asset sale.

4. Email Sending and Anti-Spam Policy

You agree that all contacts you email through the Platform have consented to receive your communications. We actively monitor for spam and abuse. Accounts found to be sending unsolicited email, achieving bounce rates above 2%, or violating CAN-SPAM/GDPR requirements may be suspended immediately without refund.

All campaigns sent through the Platform include an unsubscribe mechanism. We process unsubscribe requests immediately and suppress those contacts globally across your account.

5. Data Retention

Account and campaign data is retained for the duration of your account. Subscriber data is retained until you delete it or close your account. On account closure, data is deleted within 30 days except where retention is required by law. Campaign analytics may be retained in anonymised form for platform improvement.

6. Data Security

We implement encryption in transit (TLS/SSL) and at rest, secure authentication, access controls, and regular security reviews. Sending infrastructure uses domain rotation and IP warming practices to protect your sender reputation.

7. Your Rights

You have rights to access, correct, delete, or export your data. Your subscribers have the same rights regarding data you hold on them — you are responsible for responding to their requests. Contact privacy@letterfied.com within 30 days.

8. International Data Transfers

Data may be processed in countries outside your own. We take appropriate safeguards including standard contractual clauses for international transfers.

9. Children's Privacy

The Platform is not intended for use by anyone under the age of 18.
